Requirements/Problem Statement

The business had a large database of properties and many touch points that were not properly managed. The business involved a regular interaction with the different individual/concern parties at different level and a proper track for the same was missing.

  • For all the sales, after sales and pre sales no defined structure was in place and there was a confusion in the follow up and identifying potential leads.
  • The business had challenges in managing the agents productivity and tracking the progress at each stage.
  • Proper insight was missing for the top management to focus the areas left, get on top of each potential deal or miss opportunity.

The overall management of the processes, deals and follow up needed to be streamlined and focused on the customer centric view.

Our Solution Design

Based on the understanding of their business processes our subject matter experts build out a strategy and plan of action. Salesforce customization and Standard implementation was used to the fullest.

Starting from the object structure definition for managing large set of Properties, Interactions with Sellers/Buyer, Deals/Opportunity/ Sales.

A defined structure for the agents to work, where they follow the steps of enter basic details and all the processes were automated. Like enter the client interest in selling and the listing of the property and follow ups are automatically created, with notification to the related departments & users.

No follow ups on a deal will be reported and management notification on each deal are set. On an offer acceptance automatic closing creation is supported with ownership change and then managing of the property with the new owner.

All the existing data, leads, properties, contacts was imported to load in the system.

Reporting engine design for the reports and Dashboards for each user, management users and the company. So, three level of access and data visualization was implemented for each user their targets, current deals, past deals, good performers. For management overall deals, deals by agents, pending deals, good performers/bad performers all the information was tracked.

Finally, a complete training on the implementation and post support was planned for a smooth transition.

Results/Benefits

The client got a smooth transition with all the data loaded on Salesforce and agents trained on the usage of the system with increased productivity and fully automated lead nurturing and client communications.
